Emails Landing in Spam? SPF & DKIM Guide

← Back to Blog

Why Didn't Your Customer Get That Confirmation Email?

You send a booking confirmation or a quote, and the customer says, "I never got it." More often than not, the email did send — it just landed in their spam (junk) folder. No matter how good the message is, it's useless if it never reaches the inbox.

What controls this is email deliverability. Let's break the jargon down as simply as possible.

3 Reasons Emails Get Marked as Spam

  • No authentication set up: Gmail and Outlook check whether an email really came from your domain. If they can't verify it, it goes to spam.
  • Bulk sending from free email: Blasting a newsletter from a gmail.com address gets blocked easily.
  • Spammy wording: "FREE!!!", excessive capitals, and link-heavy emails trip the filters.

3 Authentication Records You Must Set Up

If you send from your own domain (e.g. [email protected]), add these three to your domain (DNS) settings.

  • SPF: An approved list of servers allowed to send mail for your domain
  • DKIM: A digital stamp on your emails proving they weren't tampered with in transit
  • DMARC: A rule that tells inboxes what to do with mail that fails the two checks above

Getting just these three right dramatically lowers your chance of hitting the spam folder.

What You Can Do Right Now

  • Use your own domain email: Build trust with a domain address instead of gmail
  • Send bulk mail with proper tools: Use services like Mailchimp that come with authentication built in
  • Free deliverability check: Send a test email to mail-tester.com to get a score

SPF, DKIM and DMARC only need to be set up properly once, and the benefit keeps going. PICKTECH can check everything from your domain email setup to deliverability authentication, so your customers never miss an email again.
